Privacy Policy
Mission Healthcare is committed to protecting your privacy. This notice explains what personal information we collect about you, why we collect it, who we share it with and what rights you have over it. It applies to the people we care for, their families and representatives, our staff and applicants, and anyone who contacts us through this website.

Who we are
Mission Healthcare provides care at home across Dartford and north Kent. We are the data controller for the information described in this notice. Our Directors are responsible for data protection and will answer any question you have about how we use your information.
The information we collect
The information we hold depends on our relationship with you. For the people we support, it usually includes:
- your name, date of birth, address and NHS number
- your contact details and those of your family, representatives or emergency contacts
- health information, including your conditions, medication, allergies and mobility needs
- your care plan, risk assessments and the daily notes our carers record at each visit
- information about your communication needs, culture, religion and preferences
- details of the professionals involved in your care, such as your GP or district nurse
- financial information needed to arrange and invoice your care, including any funding from Kent County Council or the NHS
If you contact us through this website or by phone, we collect your name, contact details and whatever you choose to tell us about the support you are looking for. If you apply to work with us, we collect the information in your application, together with references, right-to-work documents and the result of a Disclosure and Barring Service (DBS) check.
Why we use it, and our lawful basis
Health information is given special protection in law, and we only use it where the law allows. Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on:
- Contract — to agree, provide and invoice the care you have asked us for.
- Legal obligation — to meet the requirements placed on us as a regulated care provider, including by the Care Quality Commission and safeguarding law.
- Vital interests — to protect someone’s life or safety in an emergency.
- Legitimate interests — to run and improve our service, respond to enquiries and keep proper records, where this does not override your rights.
- Article 9(2)(h) — for health and care information, because it is necessary for the provision of health and social care.
- Consent — for anything optional, such as sending you our newsletter. You can withdraw consent at any time.
Who we share it with
We share information only with those who need it, and only as much as they need. That may include:
- the health and social care professionals involved in your care, such as your GP, district nurses, therapists, hospital teams and social workers
- Kent County Council or the NHS, where they are arranging or funding your care
- the Care Quality Commission and the local safeguarding adults team, where we are required to share information or where someone may be at risk of harm
- your family or representatives, where you have agreed to this or where it is in your best interests
- emergency services, if you need urgent help
- our software providers, who host our records and website under written agreements that require them to keep your information secure
We do not sell your information, and we do not use it for advertising. We do not routinely transfer personal information outside the UK; where a supplier does so, we check that appropriate safeguards are in place.
This website
When you use our contact or call-back forms, the details you enter are emailed to us and stored in the website so that we can respond. Please do not send detailed medical information through the website — a phone call is safer, and we are happy to call you back.
Our website uses cookies that are necessary for it to work and to keep it secure and fast, such as caching. We do not use advertising cookies or sell data to advertisers. You can block or delete cookies in your browser settings, though some parts of the site may not work as well if you do.
How long we keep it
We keep care records for as long as we are required to. For adult social care records this is normally eight years after our involvement ends, in line with the NHS Records Management Code of Practice. Recruitment records for unsuccessful applicants are kept for six months, and staff records are kept for six years after employment ends. Website enquiries that do not lead to a service are deleted within twelve months. When records reach the end of their retention period they are securely destroyed.
How we keep it safe
Information is stored securely, with access limited to the people who need it to do their job. Our staff are trained in confidentiality and data protection when they join us and regularly afterwards, and they are bound by confidentiality as a condition of employment. Paper records are kept locked away, and electronic records are protected by passwords and access controls. If a data breach occurs that is likely to put anyone at risk, we will report it to the Information Commissioner’s Office within 72 hours and tell the people affected.
Your rights
You have the right to:
- ask for a copy of the information we hold about you (a subject access request), normally free of charge and within one month
- have inaccurate information corrected
- ask us to delete information, where there is no legal reason for us to keep it
- ask us to restrict how we use your information, or object to our using it
- ask for your information in a portable format
- withdraw consent where we rely on it
- ask that decisions about you are not made by automated means — we do not make any decisions about your care automatically

If you are unhappy with how we use your information
